What goes into a payroll run?

One line per active worker: their salary structure, prorated by paid days, plus variable pay from the engine, minus structure and variable deductions, optional PF, ESI and professional tax, and any advance instalments due — giving net payable.

Every line keeps a full snapshot of how it was calculated, so a locked month can always be explained, even after rules or salaries change later.

How are salaries structured?

You define the pay components — earnings and deductions, as fixed amounts or as a percentage of another component (for example, an allowance at a share of basic). Each worker's structure is monthly, daily or hourly and has an effective date, so a raise starts exactly when it should.

How is pay prorated?

Your choice: by calendar days in the month, or by a fixed number of paid days. Paid days come straight from attendance, including paid leave, holidays and half days.

What happens when I lock a run?

Locking records the advance repayments and freezes that month's attendance, so nothing shifts under a finished payroll. Workers can then see their payslip. An admin can unlock with a written reason, which reverses the repayments.

What do I get at the end?

  • Payslips for every worker, ready to print or save as PDF.
  • A payroll register as a CSV for your accountant.
  • A bank transfer file (CSV with name, account, IFSC, amount and narration) to upload to your bank.

Clockroll does not move money; you pay through your own bank.

Does it handle PF, ESI and professional tax?

For Indian businesses that need them, yes, as optional settings: you enter the rates, wage ceilings and the professional tax slab table, and each run calculates employee deductions and shows the employer share as a cost. They are off by default. Clockroll does not file returns or calculate income tax (TDS).

Who can see salaries?

Admins, and each worker for their own pay. Managers see salaries and bank details only if you turn that permission on.
